1. Who this policy covers
This Privacy Policy describes how Naonis Pty Ltd (ABN 87 666 938 496), trading as Naonis, handles personal information in connection with the Followup mobile application, this product website, waitlist emails and support.
Followup is local-first. You do not create a Naonis account to use the core contact and follow-up features. A person whose details you save in the app does not automatically become a Naonis customer and their record is not automatically sent to us.
Your free trial, paid subscription, licence and responsibilities are also governed by the Terms of Use. The Terms and this Privacy Policy should be read together.
2. Information kept on your device
The app can store the following in local app storage:
- contacts, contact methods, company and job details;
- meeting context, notes, interactions and outcomes;
- next actions, dates, times, reminder settings and follow-up history;
- your personal vCard and QR card;
- processed business-card images and source information;
- settings, onboarding state and entitlement status; and
- locally queued product-analytics events awaiting delivery.
Core search, contact management, local OCR, contact QR recognition, reminders and activity history do not require this content to be uploaded to Naonis.
There is no automatic Naonis cloud backup or multi-device contact sync. By default, the installed app is the only live copy of these records.
You control the professional and personal information you enter about other people. Only record information you are permitted to hold and reasonably need for your work. Avoid unnecessary sensitive information.
3. Information Naonis or service providers may receive
Waitlist and support
The waitlist buttons open your email application. The website does not submit a background form. If you email us, we receive your email address, message, platform preference and any information you choose to include. We use it to answer you, manage release interest and provide support.
Store purchases and entitlements
Apple or Google processes app-store purchases and may provide the app with product, transaction and entitlement information needed to unlock or restore a purchase. Naonis does not receive your full payment-card details from the app stores.
App analytics and diagnostics
We collect product analytics for many actions in the app. Firebase Analytics and a configured Mixpanel-compatible service may receive events about app sessions, onboarding, screens or action surfaces, reminders, sharing, trial and subscription activity, purchase results and whether a product action succeeded or failed. Firebase Crashlytics may receive crash and diagnostic information. Events may include an installation or session identifier, timestamp, app version, device or platform information and a short technical label describing the action.
Product analytics are not used to store or analyse the people in your follow-up workspace. We do not intentionally include their names, email addresses, phone numbers, company or role, recognised card text, card images, meeting notes, follow-up text or webhook record content in product analytics event payloads. We do not build profiles of the people you meet from your local records.
Diagnostic information you choose to send in a support email is separate from routine product analytics. It is designed to describe app configuration and operating state, but you should still check the email and attachments before sending them.
Website analytics
Production website configuration may use Google Analytics and Microsoft Clarity to understand visits and improve the website. Those services may process information such as pages viewed, device and browser information, approximate location derived from an IP address, referral source and interaction data. They operate under their own privacy terms. Non-production versions of the site are not intended for public indexing.
Webhooks you configure
If you configure a paid HTTPS webhook and tap Send to your system, the app sends the selected contact graph, interactions, follow-up actions and related history to the endpoint you chose. Your endpoint provider receives that information under your arrangement with them. Nothing is sent automatically, and a failed send does not remove the local record.
Calendar, sharing and external apps
When you choose a calendar, email, phone, message, map, browser, file, share or store action, the app hands the relevant information to the external application or operating-system service you selected. That provider controls what happens after the handoff.
4. Device permissions
The app asks for permissions close to the action that needs them:
- Camera: to scan a contact QR or take a card photo through the platform picker.
- Contacts: to choose one phone contact to copy into an editable review. The source contact is not edited.
- Photos and files: to choose an image or a backup, restore or export destination.
- Notifications: when you turn on a local reminder.
- Calendar: to open a prefilled event for your confirmation.
- Device unlock: when you enable protection for authenticated webhook sends.
You can deny or later change permissions in device settings. The related feature may stop working, but your existing local contact and follow-up records remain available.
5. Why information is used
We use information we receive to:
- provide requested support and waitlist updates;
- verify purchases and restore entitlements;
- operate, secure, diagnose and improve the app and website;
- understand product-use patterns, action completion, trial and subscription journeys, reliability and failures through analytics;
- comply with law, enforce applicable terms and protect users or systems; and
- carry out a transaction, business transfer or professional advice process subject to appropriate safeguards.
We do not sell contact records stored in the app. We do not use the content of saved people's contact records, cards, meeting notes or follow-up text for advertising, audience profiling or product analytics.
7. Retention, deletion and security
Local app data remains on your device until you edit it, remove an available attachment, restore different data, clear the app's storage or uninstall the app. There is currently no user-facing delete-contact action.
Naonis does not automatically back up or synchronise your contact and follow-up workspace to the cloud. Deleting the app, clearing its storage, losing the phone or losing access to the device may permanently remove the only live copy. Before that happens, create a usable structured backup or send/export important records to a downstream system you control.
A structured backup is user-created and must be stored somewhere you can recover. It does not currently include the image file bytes for retained card images, so keep important source images separately. CSV is an interoperability export, not a restorable app backup. A webhook or other handoff protects only the records successfully received by that downstream system.
We retain waitlist and support correspondence only as long as reasonably needed for the request, release communication, business records, dispute handling and legal obligations. Analytics and diagnostic retention is controlled by the configured provider settings.
We use reasonable administrative and technical safeguards appropriate to the information we handle. Webhook authentication secrets are stored using platform secure storage. No system or transmission method is guaranteed to be completely secure, and you are responsible for device access controls, backups and the security of any webhook endpoint you configure.
8. Your choices, access and complaints
You can use the core app without identifying yourself to Naonis. You may use a pseudonym when contacting us where it is practical, although we need a return address to reply and store purchases remain connected to your app-store account.
You can manage local information in the app, disable optional permissions, choose whether to enable reminders or calendar handoff, decide whether to send a webhook, create backups or exports, and unsubscribe from non-essential waitlist email by asking us. Routine app analytics may not have an in-app opt-out where the production release does not provide one.
To ask what personal information Naonis holds about you, request access or correction, make a privacy complaint or ask for deletion where applicable, email apps@naonistech.com. Please describe the request and provide enough information for us to locate the relevant correspondence without sending unrelated identity documents.
We will acknowledge a privacy complaint and aim to investigate and respond within 30 days. If you are not satisfied, you may be able to complain to the Office of the Australian Information Commissioner.
9. Children and supervised use
Followup is designed as a business productivity tool and is not directed to children for the purpose of collecting their personal information. Core use does not require a Naonis account. A child or young person should use the app, store purchase and communication features only with any parent, guardian or platform approval required in their location.
If you believe a child has sent personal information directly to Naonis without appropriate consent, contact us so we can review and, where appropriate, delete it.
10. Changes and contact
We may update this policy when the product, providers, law or information practices change. We will publish the new effective date here and provide additional notice when a material change reasonably requires it.
